1. Who This Policy Covers

NotaryLinx serves two groups, and this policy applies to both:

• Members — notaries and notary professionals who create an account and publish a NotaryLinx profile page.
• Visitors — anyone who browses our website or views a member's public NotaryLinx page.

Members publish profile pages that are intended to be public. Information a member chooses to display on their page — such as their name, business title, service area, services, and contact details — is visible to anyone with the link.

2. Information We Collect

Information you give us

• Account information: name, email address, password, and business details you provide when registering.
• Profile content: everything you choose to add to your page — photo, title, bio, services, pricing, service areas, scheduling links, social media links, reviews or testimonials you upload, and credential information you elect to display.
• Payment information: subscription payments are processed by our third-party payment processor. We do not collect or store your full card number. We receive limited billing details such as the last four digits, card type, expiration date, and billing country.
• Communications: messages you send us through contact forms, email, or support requests.
• Inquiries sent to members: if you submit a contact form on a member's page, we process that message in order to deliver it to that member.

Information collected automatically

• Usage data: pages viewed, links clicked, referring page, time and date of access.
• Device and technical data: IP address, browser type, operating system, device type, and general location inferred from IP address (typically city or region level).
• Cookies and similar technologies: see Section 6.

Information from third parties

If you connect a third-party service (for example, a scheduling calendar or social media account), we receive information from that service according to the permissions you grant. We may also receive information from our payment processor and analytics providers.

3. How We Use Information

• Create, host, and display your NotaryLinx profile page
• Operate, maintain, secure, and improve the Service
• Process subscription payments and manage billing
• Deliver inquiries submitted through your page to you
• Provide customer support and respond to your requests
• Send transactional messages (billing notices, security alerts, service updates)
• Send marketing communications where permitted — you can opt out at any time
• Detect, investigate, and prevent fraud, abuse, and violations of our Terms
• Comply with legal obligations and enforce our agreements
• Analyze usage to understand how the Service is used and improve it

4. Legal Bases for Processing

Where required by law (for example, under the GDPR), we rely on the following legal bases: performance of a contract with you; our legitimate interests in operating and improving the Service and preventing abuse; your consent, where we ask for it; and compliance with legal obligations.

5. How We Share Information

We do not sell your personal information. We share information only as described below:

• Publicly, at your direction: content you publish on your NotaryLinx page is public by design.
• Service providers: vendors who help us operate the Service — hosting, payment processing, email delivery, analytics, and customer support — who may access information only to perform work for us.
• Legal and safety: when we believe disclosure is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of NotaryLinx, our users, or the public.
• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply.
• With your consent: for any other purpose you approve.

6. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand usage. Categories we use include:

• Essential cookies — required for the Service to function (authentication, security).
• Preference cookies — remember your settings.
• Analytics cookies — help us understand aggregate usage.

Most browsers let you refuse or delete cookies through their settings. Disabling essential cookies may prevent parts of the Service from working. We do not currently respond to browser "Do Not Track" signals, as no common industry standard for them has been adopted.

7. Your Choices and Rights

You can access and update most of your information by signing in to your account. You may also:

• Edit or remove content from your profile page at any time
• Unsubscribe from marketing emails using the link in those messages
• Request a copy of your personal information
• Request correction or deletion of your personal information
• Object to or restrict certain processing
• Request data portability
• Withdraw consent where processing is based on consent

U.S. state privacy rights

Residents of certain states, including California, may have additional rights — to know what personal information we collect and how we use it, to request deletion or correction, to opt out of "sale" or "sharing" of personal information, and not to be discriminated against for exercising these rights. NotaryLinx does not sell personal information or share it for cross-context behavioral advertising.

8. Data Retention

We keep personal information for as long as your account is active and as needed to provide the Service. After you close your account, we delete or de-identify your information within a reasonable period, except where we must retain it to comply with legal obligations, resolve disputes, prevent fraud, or enforce our agreements. Backup copies may persist for a limited time.

9. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use a strong, unique password and notify us promptly if you believe your account has been compromised.

10. International Users

NotaryLinx is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to, stored in, and processed in the United States, where privacy laws may differ from those in your country. Where required, we use appropriate safeguards for such transfers.

11. Children's Privacy

The Service is not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

12. Third-Party Links and Services

Member pages and our website may link to third-party sites and services — scheduling tools, social media platforms, review sites, and payment providers. We do not control those services, and this policy does not apply to them. Review their privacy policies before providing information.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. If changes are material, we will provide additional notice, such as by email or a notice within the Service. Your continued use of the Service after changes take effect means you accept the updated policy.
